Executive Assistant - Finance

A.P. Møller - Mærsk

Fra Workday

Are you highly organised, proactive and someone who enjoys creating structure in a busy, fast-moving environment?

We are looking for an Executive Assistant to support two senior leaders within our Finance organisation. You will play an important role in helping them operate effectively, managing priorities, coordinating key activities and ensuring strong follow-through across their agendas.

Alongside executive support, you will also contribute to communications connected to transformation activities within Finance, giving you exposure to a broad range of stakeholders and initiatives across our evolving organisation.

This is a varied role for someone who enjoys being at the heart of a team, anticipating what is needed and making things happen.

Key responsibilities include:

  • Manage complex calendars, meetings, travel and changing priorities to support effective use of leadership time.
  • Coordinate leadership meetings, workshops and events, including materials, logistics and follow-up on key actions.
  • Prepare presentations, reports, correspondence and other high-quality executive materials.
  • Support transformation communications, helping prepare and coordinate clear and engaging updates and materials for relevant stakeholders.
  • Act as a trusted point of contact for internal and external stakeholders, building effective relationships across functions and geographies.
  • Coordinate key administrative activities, including expenses and purchase orders, while tracking critical deadlines and helping leaders stay ahead of Finance’s monthly and annual planning and reporting cycle.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Support ad hoc projects and identify opportunities to simplify and improve ways of working, including through Microsoft 365, AI and automation tools.

Who we're looking for:

You...

  • Are an organised and dependable professional who brings good judgement, attention to detail and a genuinely proactive approach.
  • Anticipate needs, act without waiting to be prompted and maintain disciplined follow-through.
  • Are comfortable managing multiple priorities, working independently and building effective relationships with stakeholders across different levels and locations.

We would like to hear from you if you bring:

  • Experience in an Executive Assistant, Executive Administrator, Personal Assistant or similar role supporting senior leaders, ideally with experience supporting more than one leader and balancing competing priorities.
  • Experience working in a complex, fast-paced corporate environment, with confidence navigating across teams, functions and senior stakeholders.
  • Strong planning and organisational skills, with the ability to prioritise and adapt as circumstances change.
  • Excellent written and verbal communication skills in English, with the ability to turn information into clear and engaging communications.
  • A proactive mindset, with the ability to anticipate needs and take ownership of follow-through.
  • Strong attention to detail and discretion when working with confidential information.
  • Confidence using Microsoft 365 tools and an interest in using AI and automation to work smarter.
  • An interest in transformation and change, combined with a collaborative and pragmatic approach.

Working with us

This role offers the opportunity to work closely with senior Finance leaders, build relationships across a global organisation and make a visible contribution—bringing structure to complexity, keeping priorities moving and supporting clear communication across Finance transformation and day-to-day leadership activities.

NB: This is an office-based role, with an expectation to work onsite five days a week. Being together in person supports close collaboration and connection in a role working closely with senior leaders and stakeholders.

If you are a proactive Executive Assistant who enjoys creating structure, staying ahead of deadlines and supporting senior leaders in a dynamic environment, we would love to hear from you!
